Polish qualified signature for foreigners โ step by step in 2026
If you're a foreign national running a company in Poland, signing contracts with Polish counterparties, or required to report to KSeF, you need a Polish qualified electronic signature (QES). Since 2024 you no longer need to visit Poland โ the entire identity verification is done over a video call with an English-speaking operator.
Can a foreigner get a Polish QES at all?
Yes. Following the 2024 amendment to the Trust Services Act (Dz.U. 2024 poz. 1232), the procedure is identical for Polish citizens and EU/EEA foreigners. For non-EU citizens, a biometric passport and a Polish company NIP are additionally required.
What you need before ordering
- Valid ID document โ national ID (EU/EEA) or biometric passport (non-EU)
- Polish NIP โ if buying for a company (personal NIP not required for personal signature)
- Email and phone number (Polish or international)
- Camera, microphone and stable internet (10 Mbps up/down recommended)
How the process works
The full procedure typically completes within 24-48 hours:
- Place an order online and choose certificate type (1, 2 or 3 years)
- Pay online (BLIK, card, transfer) โ you'll receive a link to book video verification
- Pick a slot (usually same business day)
- Connect to the operator via browser โ no app installation needed
- The operator verifies your ID, takes control photos, you sign a consent statement
- Within 1-4 hours of successful verification, your certificate is active
What you get
After activation you'll have access to SimplySign โ a mobile and web app for signing documents. You can also use the certificate in other systems (Adobe Acrobat, MS Office, KSeF signing, ePUAP).
The certificate has the same legal force as a handwritten signature across all 27 EU countries under Article 25 of the eIDAS Regulation (910/2014).
FAQ
Is a Ukrainian/Belarusian/American passport accepted? Yes, if it's biometric (with a microchip). The operator must be able to verify authenticity.
Can I use the certificate from abroad? Yes. SimplySign works globally. A certificate from a Polish TSP is accepted in every EU country.
Do I need to renew? Yes, after the validity period expires (1/2/3 years depending on chosen plan). Renewal without re-verification is possible if your data hasn't changed.
