[ Use cases ]

Who needs a seal.

Companies using KSeF

Poland's National e-Invoicing System (mandatory from February 1, 2026) โ€” automated signing of thousands of invoices monthly requires a seal, not a personal signature.

Equipment manufacturers (ePREL)

Entries in the EU Energy Products Registry require electronic seal to certify technical product data.

High-volume invoicers

Wholesalers, e-commerce, accounting bureaus โ€” automation saves hundreds of hours per year.

B2B system operators

Sealing settlement reports, returns, corrections โ€” in automated inter-company integrations.

Financial reporting

Quarterly and annual reports require either a seal or collective board signatures โ€” seal radically simplifies the process.

Public sector

Government bodies and budget units issuing batch documents (decisions, certificates) โ€” digital official seal.

Frequently asked questions about QSeal.

Seal implementation needs consultation? Book a call.

How does QSeal differ from QES? +

A seal (QSeal) is issued to a legal entity (company); a signature (QES) โ€” to a natural person. QSeal enables automated document signing by an IT system on behalf of the company (invoices, reports), without human involvement. QES always requires a conscious human decision.

Does QSeal work with KSeF? +

Yes. Poland's National e-Invoicing System (KSeF) requires signing structured invoices โ€” qualified seal is officially listed as an accepted mechanism. Full automation: the accounting system signs invoices without human intervention.

What other uses besides KSeF? +

ePREL (EU energy products registry), accounting document sealing, automated report signing (financial statements), standardized contract protection, system signatures in B2B APIs.

Is physical hardware required for QSeal? +

Standardly the seal is stored in an HSM (Hardware Security Module) at the trust provider โ€” accessed via API with 2FA. A variant with a physical HSM card on customer premises is available for the largest companies.

Can I get QSeal for a foreign company operating in Poland? +

Yes. Required: an active KRS entry (or equivalent for branches of foreign companies) plus verification of the person authorized to represent the entity. Process takes 3-7 business days โ€” bilingual support (PL/EN).
